Why Photo Booths Work for London Corporate Events
The corporate events market in London spans a wide spectrum: product launches at Canary Wharf venues, trade show stands at ExCeL and Olympia, staff recognition parties at Shoreditch warehouse spaces, and client hospitality suites at the O2 or Wembley. A photo booth serves a different purpose at each — and understanding that distinction is what separates a forgettable hire from a genuine return on investment.
At a brand activation or product launch, the booth is a content engine. Every photo or video clip a guest shares carries your logo and campaign message. The organic reach generated by fifty guests posting the same branded video clip to LinkedIn or Instagram in a single evening is measurable and real.
At a trade show, the booth is a lead magnet. The right configuration captures names, job titles, email addresses, and consent — structured data that flows directly into your CRM after the event. Visitors who would have walked past your stand stop, engage, and leave a trace.
At a staff party or recognition event, the booth is a culture tool. It creates a shared, informal experience that sits outside the usual hierarchy. People who would never interact across departments end up in a booth together holding props, and that matters for team cohesion.
The common thread: a photo booth gives people a reason to stop, participate, and remember. In London's competitive corporate events environment — where delegates are overstimulated and attention is the scarcest resource — that is a genuine strategic asset.
Four Types of Corporate Photo Booth: Which One Fits Your Brief?
Not every booth is suited to every corporate context. Here is a clear breakdown of the four configurations we offer and the scenarios they work best for. For full package details, visit our pricing page.
360° Branded Slow Motion Booth
The 360° booth produces a slow-motion video clip as the camera arm rotates around guests on a circular platform. For corporate use, this is your highest-impact activation asset. Every clip is branded with your overlay, instantly shareable via QR code or text, and genuinely spectacular in a way that drives organic social posting. Best suited to product launches, award ceremonies, and brand activations where visual impact is the primary objective. Requires approximately 4m × 4m of clear floor space.
Lead-Capture Selfie Pod
The Selfie Pod in lead-capture configuration is the trade show workhorse. Compact enough to fit on a 3m × 2m stand, it presents guests with a data-capture screen before each session — collecting name, company, email, and explicit marketing consent. All data is exported in a timestamped CSV at the end of the event. It is GDPR-compliant by design, not by retrofit. For exhibitors at ExCeL, Olympia, or the Business Design Centre, this configuration consistently outperforms passive giveaways as a lead-generation mechanic.
Glam Vintage Branded Print Booth
The Glam Vintage booth produces instant printed photo strips — physical takeaways that sit on desks, get stuck to fridge doors, and continue your brand presence long after the event ends. For corporate use, the print template carries your logo, event name, date, and any campaign messaging. This booth works well at client hospitality events, internal conferences, and partner summits where a tangible branded keepsake adds perceived value. Printed strips are produced in under 15 seconds per session.
Open-Air Branded Backdrop Setup
For events where floor space or logistics make an enclosed or platform booth impractical, an open-air setup — camera on a stand, branded backdrop, professional lighting — gives you a clean, flexible activation footprint. This configuration is particularly well-suited to rooftop venues, branded pop-ups, and events with a moving audience flow rather than a fixed dwell point.
Branding Your Photo Booth: Logos, Backdrops, Overlays, and Digital Templates
Corporate clients are often surprised by the depth of branding customisation available. This is not a case of slapping a logo in the corner of a generic template. A properly configured corporate photo booth activation is brand-consistent from backdrop to print to share screen.
- ✓
Custom print overlay
Designed to your brand guidelines — logo, colours, tagline, event name, date, and any campaign hashtag. Provided as a digital template applied to every print automatically.
- ✓
Branded video overlay
For the 360° booth, your branding is embedded into the video clip before it reaches the guest's phone. The share screen and microsite landing page can also carry your branding.
- ✓
Custom backdrop
We can supply a printed fabric backdrop — step-and-repeat logo pattern, campaign imagery, or solid brand colour. Alternatively, we work with your events agency or AV supplier's existing backdrop.
- ✓
Branded enclosure
The booth exterior can be wrapped or panelled in your brand identity for flagship activations where the physical presence of the booth itself is a brand touchpoint.
- ✓
Microsite share page
Digital share links lead to a co-branded landing page rather than a generic gallery. This page can carry your campaign CTA, a link to your website, and your privacy policy.
All branding assets should be supplied in vector format (SVG or EPS) with brand guidelines where available. We turn around artwork proofs within 48 hours of receiving assets, and we allow up to two rounds of revision before sign-off.
GDPR-Compliant Lead Capture at Trade Shows and Brand Activations
The ICO has been clear: "legitimate interest" is not sufficient grounds for marketing communications to individuals. If you want to email the leads collected at your trade show stand, you need explicit, informed, granular consent — and you need to be able to demonstrate it.
Our lead-capture configuration is built around this requirement. Before each booth session, guests are presented with:
- ✓A data collection screen with clearly labelled fields (name, company, email, job title)
- ✓An explicit opt-in checkbox — not pre-ticked — with a plain-English description of what you will use the data for
- ✓A link to your privacy policy (URL supplied by you)
- ✓A consent timestamp recorded per session
At the end of the event you receive a CSV export containing all captured fields plus the consent timestamp. Guests who did not opt in appear in the export with a clear flag — you can still count them as footfall data without including them in your marketing database.
Important: as the data controller, you are responsible for holding this data in accordance with your own privacy policy, ICO registration, and retention schedule. We act as a data processor under your instruction; we do not retain, share, or use captured data for any purpose other than delivering the export to you.
For clients who need a data processing agreement (DPA) in place before the event, we provide a standard DPA on request. Most corporate procurement teams find this sufficient; if your legal team requires amendments, we are happy to accommodate reasonable changes.
Compliance Documents: PLI, PAT, RAMS, and Method Statement
London venues — particularly large conference centres, hotel ballrooms, and branded pop-up spaces — increasingly require suppliers to submit a compliance pack before access is granted. Some corporate procurement frameworks require this as standard regardless of venue. We have encountered this consistently at ExCeL London, Tobacco Dock, and a range of City hotel venues.
FunLoading360 provides the following documents on request, at no additional charge:
- ✓
Public Liability Insurance (PLI)
Cover to the value of £10 million. Certificate issued by our insurer; available in PDF format for submission to venues or procurement teams.
- ✓
PAT Test Certificate
All electrical equipment — booth units, printers, power distribution — is Portable Appliance Tested annually. Current certificates are available for each piece of equipment.
- ✓
Risk Assessment (RA)
Covers the setup, operation, and breakdown of all booth equipment at a typical London event venue. Includes identification of hazards, likelihood ratings, control measures, and residual risk levels.
- ✓
Method Statement (MS)
Step-by-step description of how we install, operate, and remove equipment. Includes timing, staffing, access requirements, and emergency procedures.
- ✓
RAMS combined document
Risk Assessment and Method Statement presented as a single document — the format preferred by most London venue coordinators and event managers.
If your venue or procurement team has a specific format requirement — for example, a proprietary risk assessment template — let us know at the briefing stage and we will complete it. We are accustomed to working within corporate supplier frameworks and will not create a compliance bottleneck on your event timeline.
How to Brief a Photo Booth Supplier for a Corporate Event
A clear brief saves time, prevents misunderstandings, and ensures the final activation matches your objectives. When you contact us, here is the information that will allow us to quote accurately and propose the right configuration:
- 01
Event type and objective
Brand activation, trade show, staff party, product launch, conference fringe? What is the primary goal — social content, lead capture, team engagement, or brand visibility?
- 02
Venue and date
Full venue name, address, and event date. We cover London with a small travel supplement from our Essex base — knowing the venue allows us to confirm logistics and flag any access restrictions early.
- 03
Anticipated footfall
How many guests or delegates are expected to engage with the booth? This determines whether a single unit is sufficient or whether a second operator or extended hire period is needed.
- 04
Available floor space and power
Approximate dimensions of the area allocated to the booth, and whether a dedicated power circuit is available. For the 360° booth, we need a minimum of 4m × 4m clear of other installations.
- 05
Branding assets and guidelines
Do you have an existing brand guidelines document? What assets need to appear on prints and videos — logo, event hashtag, campaign tagline, QR code?
- 06
Data capture requirements
Is lead capture required? If so, what fields do you want to collect, and what is the URL of your privacy policy? Do you require a data processing agreement in advance?
- 07
Compliance requirements
Does your venue or procurement team require PLI, PAT, RAMS, or a method statement? Which format do they prefer, and what is the submission deadline?
You do not need to have all of this finalised before getting in touch. Early contact — even with a provisional date and a rough brief — allows us to hold a date while you confirm internal sign-off. A 15% deposit secures your booking; the balance is due 14 days before the event.

Frequently Asked Questions
Can we use our company logo on the photos and videos?
Yes. Every print and video produced at your event carries your branding. We create a custom digital overlay template using your logo, brand colours, tagline, and event details. For the 360° Slow Motion booth, the branded overlay is embedded into every video clip before it is shared. For the Glam Vintage booth, the overlay is printed directly onto every photo strip. You supply the assets; we handle the design and implementation.
Do you provide a risk assessment and method statement?
Yes. We provide a full compliance pack on request, including a method statement, risk assessment (RAMS), PAT test certificate, and public liability insurance certificate. These documents are formatted for submission to venue coordinators, local authorities, and corporate procurement teams.
Is data capture GDPR compliant?
Yes. Our lead-capture configuration presents guests with a clear opt-in screen before they interact with the booth. Consent is recorded per session with a timestamp. Data is held securely and exported to you in a clean CSV at the end of the event. We do not retain or use the data for our own marketing purposes. You are responsible for holding the data in accordance with your own privacy policy and ICO registration.
What insurance do you carry for corporate events?
FunLoading360 holds Public Liability Insurance (PLI) to the value of £10 million. A certificate is available on request and can be submitted directly to your venue or procurement team. All equipment is PAT tested annually.
How far in advance should we book for a London corporate event?
For London corporate events — particularly product launches, trade shows, and conference fringe events — we recommend booking at least 6 to 8 weeks in advance. For flagship activations or events tied to fixed industry calendars (e.g., London Tech Week, Advertising Week Europe), booking 3 to 4 months ahead is advisable. A 15% deposit secures the date; the balance is due 14 days before the event.
